JOB TITLE: Assistant Assignment Clerk/Judicial Secretary
REPORTS TO: Chief Judge and Administrators
SUMMARY:
Assists in scheduling and noticing court dates for court proceedings, tracks cases, processes mail, documents scheduling related information, and performs other related scheduling and case processing functions. Performs confidential secretarial functions as needed by a judge.
PRINCIPAL DUTIES AND RESPONSIBILITIES:

- Assists in scheduling court dates for motions, pretrial and status conferences, settlement conferences, and trials, issuance of notices, and computer documentation of docket schedules. Ensures timely scheduling of court proceedings.*
- Prepares and distributes dockets for scheduled motions. Checks case summaries, calendars and notices to ensure motions have been filed for scheduled motions; follows-up with attorneys who have not submitted motions; and organizes motion day files for the judge.*
- Tracks status and progress of cases to determine future scheduling and court action requirements.*
- Answers the telephone and provides information about cases, schedules and procedures in response to routine inquires.
- Opens, sort and distributes mail. Pulls case related information necessary for judicial and/or administrative response to correspondence. Prepares outgoing mail for mailing.
- Directs letters to judges and others for response.
- Receives and processes letters and inquiries from prospective jurors regarding scheduled trials, requests for exemption from jury service, and related questions. Processes request for exemption from jury service in accordance with court policy.*
- Performs confidential secretarial functions as needed by the Chief Judge, such as typing and processing correspondence and other materials of a confidential nature.*
- Types judicial opinions, orders and other documents; obtains judges' signatures on orders, distributes orders and enters orders into the computer.*
- May coordinate court mediation services.
