JOB TITLE: District Division Supervisor

REPORTS TO: District Division Manager

SUMMARY:

As clerk of the court, serves as a working supervisor to assigned clerical staff involved in processing civil, criminal and traffic cases. Regularly performs work of staff supervised and assists staff with case processing problems and issues. Provides information to law enforcement officers, attorneys, defendants and court patrons. Substitutes for other court staff and provides general assistance to Judges and administrative staff. May serve as a magistrate.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Serves as a working supervisor to assigned clerical case processing staff. Makes effective hiring recommendations, trains staff, assigns work, evaluates work performance, and initiates and recommends discipline.*
  • Performs work of assigned staff involved in processing civil, criminal and traffic cases on a regular basis. May individually process civil, criminal and/or traffic cases.*
  • Assists staff with case processing problems and issues; includes explaining court policies and procedures to court patrons and addressing complaints from irate court patrons.*
  • Coordinates scheduling of cases ensuring that schedules are prepared and posted, necessary scheduling adjustments occur timely, and addresses scheduling issues.*
  • Compiles and analyzes case processing statistics; prepares case activity related reports for judicial and administrative review.
  • Meets with unit and administrative staff to discuss case processing issues, impact of legislation and court rules, and implementation of case processing policies and procedures. Implements policies and procedures.
  • Oversees and participates in documenting and maintaining case histories, case activity and other pertinent case information on court documents and in the computer.*
  • Oversees and participates in the processing of mail and payments ensuring that mail is properly routed and processed; and that payments are processed in accordance with court established financial controls.*
  • Ensures that case files in bind overs and appeals are timely transferred to the appropriate court.*
  • May serve as magistrate and perform any or all of the following functions:
  • Accepts and examines criminal complaints and examines witnesses, as necessary, in order to determine probable cause for issuing arrest warrants as authorized by the prosecuting attorney.
  • Accepts and examines affidavits for search warrants from law enforcement officers, determines probable cause and issues search warrants as necessary.
  • Conducts first appearance arraignments in felony and misdemeanor matters.
  • Sets or denies bail in criminal matters based on seriousness of charge, likelihood of defendant's court appearance, and other relevant factors. Sets conditions for bond, or commits defendants to jail in lieu of bail.
  • Conducts informal hearings in civil infraction matters; explaining the law and procedures to parties, hearing testimony, examining witnesses under oath, making findings of fact and conclusions of law, and assessing appropriate sanctions upon findings of responsibility.
  • May assist in all 46th Circuit Trial Court Divisions when necessary to meet the needs of the court.
  • Performs other duties as assigned by the Chief Judge.
